This position can be fully remote. Local to Portland preferred!


The purpose of this position is to perform complex Accounts Receivable tasks, including producing reports and analysis for use by Credit Manager and Corporate Treasurer, to collect outstanding receivables from Oregon Tool’s customers, and to perform credit investigations and establish credit limits within assigned approval limit.  This position is responsible for releasing customer orders from credit hold as appropriate, within assigned limits and performing complex account reconciliations as needed.  This position interfaces with customers, CSR’s, Sales Managers and other members of Management and the Finance Dept.  This position also supports the Credit Manager function in his/her absence and may also provide training and mentorship to new employees.


Primary Duties and Responsibilities:

  • Primary contact with customers for collecting slow paying receivables and continuous review of amounts beyond due dates. Produce Accounts Receivable Aging Reports for Management.
  • Identify customers needing contact.
  • Determine appropriate level of communications (Dunning Letters, emails, phone calls).
  • Follow up directly with customers to resolve discrepancies and collect past due items.
  • Make decisions regarding holding shipments, when appropriate, keeping Sales Managers and Credit Manager informed.
  • Communicate with CSR, Sales Manager and Credit Manager (or designees) as necessary to resolve delinquent accounts.
  • Make decisions for accounts needing to be turned over to outside collections when appropriate, keeping Sales Managers and Credit Manager informed.
  • Produce monthly AR Aging reports for use by Credit Manager and Sales Management.
  • Contact customers for explanations regarding short-payments or deductions
  • Record reason for short-payment or deduction in Software (SAP or other).
  • Scan, upload and attach written documentation for short-payments and deductions in software.
  • Inform Marketing/CSR about deductions and short payments.
  • Identify patterns in deductions/short-payments and recommend appropriate countermeasures.
  • Follow-up on items until resolved and cleared.
  • Monitor and maintain customer accounts by clearing appropriate debits and credits in an accurate and timely manner (File Maintenance).
  • Produce Monthly Debit Memo Status Reports
  • In a timely manner, process customer credit card payments based on company policy, while adhering to PCI DSS rules (Payment Card Industry Data Security Standards).
  • Credit Investigation and Approval of new account’s credit limits. Review Letters of Credit, Security Agreements and Pro Forma invoices for accuracy and completeness.
  • Review credit applications for completeness, log in to Excel Spreadsheet (New Credit Applications Report) for tracking purposes.
  • Ensure necessary documents are received and are complete (W-9, Resale Certificates)
  • Approval and release for shipment of customer orders on credit hold. Respond to customer requests for information, documentation, and process customer credit card payments.
  • Act as back up to Credit Techs on this task.  Perform Daily Cash Log & Cash Application processes, perform file maintenance on accounts and produce customer statements. Assist Credit Techs with same tasks in an advisory role. 



  • High school diploma required.
  • Associates’ or Bachelor’s degree in Business, Finance or Accounting is preferred.  Previous On-the-Job experience could substitute for this requirement.
  • Courses specific to Credit a plus.


Knowledge & Experience:

  • 5-10 years of experience in Accounts Receivable, Collections and Credit Investigations.
  • Certifications preferred (but not required): NACM designations CBA, CBF or CCE.



  • Teamwork, flexibility, and positive “can do” attitude is essential.
  • Basic understanding of key GAAP standards as they relate to Accounts Receivable.
  • Basic understanding of key Sarbanes-Oxley Act standards as they relate to Credit and Accounts Receivable.
  • Solve problems analytically; search out relevant information and gauge its importance when making decisions.
  • Effective written and oral communication skills; able to express oneself clearly and in technical and non-technical terms.
  • Collaborative and effective team player and able to work with teams who are globally dispersed.
  • Take initiative, seek and act on opportunities to improve organization performance.
  • Proficiency in Microsoft Office suite (Outlook, Word, Excel) and data management software (SAP preferred).
